Create the first repair

Bulk import repairs (CSV)

- 2Dates must be in DD/MM/YYYY, DD-MM-YYYY, or YYYY-MM-DD format
- 3On the Repairs page, click 'Import'
- 4Select the CSV file and confirm the column mapping
- 5The import runs in batches — supports up to 10,000 records without timeout
- 6The entry date from the CSV is used as the actual creation date (not the import date)
- 7After importing, verify the repairs in the list to confirm the data is correct

Manage appointments in the schedule

- 2Click on the desired day and time in the calendar to create a new appointment
- 3Associate the appointment with an existing repair (optional)
- 4Technicians receive notifications of their appointments and can consult 'My Schedule'

- 6Accept, decline, or propose an alternative date — the customer is automatically notified by email

Perform hardware diagnostics

- 1Download the myclientpro-diag-gui.exe file from the downloads area (or from the 'Diagnostics' button on the repair)
- 2Run the file as Administrator on the customer's PC (right-click → Run as Administrator) and accept the UAC prompt
- 3Enter the company slug (e.g. torrestech), select your name from the list and enter your PIN — or click 'Continue without login' to run tests without associating with a repair
- 4Enter the repair number to associate the results
- 5In the Level step, choose the diagnostics type (basic, full, etc.) and enable the Stress Test if you want to test stability under load
- 6Click 'Start Tests' and wait — each test (CPU, RAM, Disk, GPU, Network, Battery, Windows) runs automatically
- 7Fill in the Service Checklist with the procedures carried out (OS, Office, drivers, updates, etc.)
- 8Click 'Send to ClientPro' to submit the results — they are associated with the repair and a PDF is generated
- 9Use 'Save PDF' to save the report to disk and hand it to the customer

Manage physical inventory units (serial numbers)

- 2In the 'Units' tab, click '+ Add Unit'
- 3Enter the serial number (optional), source shop, and initial status (In Stock)
- 4The item's total stock is automatically updated with the number of In Stock units
- 5When selling a unit, change the status to 'Sold' and fill in the value and sale date
- 6Use the 'Reserved' status for units that are committed but not yet delivered

Configure WhatsApp Business per shop

- 1In Meta for Developers, create an app with the WhatsApp product and add a business phone number
- 2Create a System User in Meta Business Suite and generate a permanent token with the whatsapp_business_messaging permission
- 3Copy the Token and Phone Number ID from the Meta console (WhatsApp → API Setup)
- 4In Management → WhatsApp → Numbers by shop, paste the Token and Phone Number ID for each shop
- 5In Management → WhatsApp → Templates, confirm that the templates are listed with the correct template_name values
- 6Submit the templates in Meta Business Manager and wait for approval (24–48 hours)
- 7After approval, enable the desired automatic notifications in Management → WhatsApp → Automatic Notifications
- 8Publish the Meta app (switch from Development to Live) to be able to send to any number
- 9Use the 'Test Sending' card to confirm that the configuration is correct

Send quote via WhatsApp with link

Configure shops and workstations

- 1Go to Management → Company → 'Shops' section and create your company's shops (e.g. Shop Lisbon, Shop Porto)
- 2Each shop has its own repair number (independent sequence) and can have WhatsApp configured separately
- 3To associate a computer with a shop, go to Management → Workstations
- 4Click '+ New Workstation', give it a name (e.g. Counter 1) and select the shop
- 5The system automatically records the browser where you registered — from then on, when creating a repair or order on that computer, the shop is filled in automatically
- 6If you work on multiple workstations, you can manage the associations in Management → Workstations at any time
- 7Tip: save the /<slug>/staff link as a bookmark on each computer — when opened, the login pre-selects the workstation's shop

Configure auto-logoff on inactivity

- 2In the 'Auto-logoff on inactivity' card, set the number of minutes (e.g. 10)
- 3Use 0 to disable auto-logoff completely
- 4Click 'Save' — the setting applies to all technicians in the tenant
- 5After inactivity, the technician is redirected to the PIN login and automatically returns to the page they were viewing

Customer portal — share link and track status

- 3The system generates a unique link for this repair (e.g. /status/reparacao/TOKEN)
- 4Share the link with the customer via WhatsApp, SMS, email, or by simply copying it
- 5The customer can open the link in their browser without creating an account or logging in
- 6The portal shows: current status, update history, quote (if sent), and equipment details
- 7When the status changes, the portal updates automatically — the customer can review it at any time

Configure automatic SMS and email notifications

- 1For email: go to Management → Email and configure the SMTP server (host, port, username, password)
- 2For SMS: go to Management → Notifications, choose the provider (BulkGate, Twilio, or ClickSend) and enter the API credentials
- 3Go to Management → Notifications to configure which statuses trigger a notification
- 4For each repair status, enable the email and/or SMS toggle
- 5Customise the message for each notification — use {cliente}, {reparacao}, {estado}, and {link} as variables
- 6Click 'Test' next to each notification to send a test message before enabling
- 7Enable the desired notifications — from that moment they are sent automatically

Enable two-factor authentication (MFA)

- 2In the Security section, click 'Enable two-factor authentication'
- 3Install an authenticator app on your phone (e.g. Google Authenticator, Authy)
- 4Scan the QR code shown on the page with the authenticator app
- 5Enter the 6-digit code generated by the app to confirm activation
- 6Save the recovery codes in a safe place — they are used if you lose access to the app
- 7After activation, an MFA code will be requested on each new login

Register the customer's equipment

- 6When creating a repair for this customer, pick the registered equipment instead of typing it again
- 7Turn off 'Equipment active' when the customer no longer has it — the history stays

Customise the printed documents

- 2Choose the document: repair order, RMA note, order note, technical report or quote
- 3Set the document title and the terms and conditions text — each type has its own, and the order note carries its own terms
- 4Adjust font sizes, spacing between sections and margins until the page fits the way you want
- 5Change the signature labels and the acceptance text, if you use them
- 6Save and print a test repair to confirm the result on paper
- 7The date and address at the top and bottom come from the browser, not the platform: turn off 'Headers and footers' in the print dialog to remove them

Issue a technical report

- 2The 'Problem' comes pre-filled with the repair reason — correct it if the diagnosis showed something else
- 3Write the diagnosis and the goal of the intervention
- 4Add one procedure per step carried out, with title, description and result
- 5Close with the conclusion and the recommendation to the customer
- 6Click 'Save and Print' — the report is stored on the repair and can be reopened later

Get alerted about stalled repairs

- 2Scroll down to the repair alerts section
- 3Choose the status to watch, for example 'Waiting for part', and narrow it to a reason or service if you want
- 4Set after how many stalled days the repair should raise an alert
- 5Write the subject and body of the email you want to receive
- 6Leave the alert active — the check runs once a day and notifies by email
- 7Create one alert for each status where repairs tend to get stuck

Trial period and subscription

- 1The account enters a 60-day trial as soon as the registration is approved — nothing to do, no card needed
- 2Go to 'Billing' in the sidebar to see the current plan and when the trial ends
- 3You get email warnings 30, 15, 7 and 1 day before the end
- 4To subscribe, choose the packages and duration, and pay by MB WAY, card, Multibanco reference or invoice
- 5Payment extends the term from the date it is made
- 6If the term ends without payment, only the administrator can log in, and only into the payment screen
